JOB PURPOSE:
Reporting to the Supervisor, MRP Referral Team, the Administrative Triage Medical is responsible for reviewing, validating, triaging, prioritizing, and preparing referral files. This includes analyzing large, complex medical records, identifying and organizing relevant clinical information, and ensuring files are complete, structured, and decision-ready for Physician or Nurse Practitioner review, while ensuring compliance with privacy, regulatory, and organizational requirements.   

PRINCIPAL RESPONSIBILITIES:

Intake, Validation and File Preparation: 

  • Review and analyze large incoming complex medical records, diagnostic reports, and supporting documentation. 

  • Verify referrals are complete, accurate, and all documents are present based on established submission requirements. 

  • Identify missing information, incomplete documentation, unclear referral rationale, duplicate referrals, or documentation deficiencies. 

  • Organization and sequence referral notes, diagnostic imaging and medical documentation into clear, decision-ready formats to support physician review.  

Clinical Triage & Prioritization: 

  • Perform structured triage of referrals to assess completeness, complexity, and readiness for review. 

  • Extract and summarize relevant clinical information from multiple sources to support efficient and consistent physician review. 

  • Identify and escalate high-risk, time-sensitive, overdue, or complex referrals in accordance with established processes.  

Workflow Tracking: 

  • Manage referral progression from referral review through physician disposition. 

  • Monitor turnaround times and proactively address workflow bottlenecks. 

Compliance & Privacy: 

  • Handle patient health information in accordance with provincial privacy legislation and organizational policies. 

  • Maintain accurate documentation at all times. 

  • Adhere to professional nursing and medical standards, clinical protocols, and organizational procedures.  

  • Perform all review, triage, and file preparation activities using established processes and professional judgment, without reliance on artificial intelligence (AI) tools for clinical analysis or decision support. 

Quality: 

  • Ensure all outputs meet defined quality standards for accuracy, completeness, and consistency. 

  • Follow standardized templates and processes to support consistent decision-making across the program. 

  • Participate in quality assurance activities and incorporate feedback into daily work. 


KNOWLEDGE, SKILLS AND EXPERIENCE:
  • Experience reviewing and interpreting medical records and clinical documentation. 

  • Strong analytical skills with the ability to identify relevant clinical information within large volumes of documentation. 

  • Strong organizational and prioritization skills  

  • Attention to detail  

  • Ability to manage high-volume workloads  

  • Process-oriented mindset  

  • Effective written and verbal communication skills  

  • Ability to maintain confidentiality  

  • Proficiency with the use of Electronic Medical Records (EMR) systems and PDF Editor tools like Adobe or Foxit 

  • Ability to identify workflow bottlenecks and escalate issues appropriately 

Education/ Certifications 

LPNs

  • Current registration and in good standing with the College of Alberta LPNs 

Clinical Aides 

  • Completion of a degree from a school of medicine listed in the World Directory of Medical Schools.
